We are looking to hire a dynamic and enthusiastic Office Coordinators who can perfectly manage the functioning one of our offices.

What are the responsibilities of an Office Coordinator?

Looking after the office in your city:

  • Procuring office supplies and coordinating utility and services suppliers,
  • Invoicing, keeping records of documentation and office equipment,
  • Keeping offices functional and attractive, monitoring the quality of benefits, the technical condition of offices, and coordinating improvements,
  • Planning, conducting and supervising removals or renovation works.

Contributing to the remote intercity office operations by one of the following:

  • Preparing research, planning, conducting, and supervising opening of new offices in other cities,
  • Ordering and purchasing high-budget benefits for employees: researching the market, preparing offer inquiries, negotiating with suppliers and service providers,
  • Introducing new insurance policies,
  • Improving the process of archiving documents,
  • Organising business trips and events.

Must-haves for an Office Coordinator at Netguru:

  • very good command of written and spoken Polish (CEFR C1+) and English (CEFR B2+),
  • 1+ years of experience in coordinating the functioning of an office,
  • ability to cooperate remotely with your distributed team and manage tasks independently,
  • outstanding communication and negotiation skills,
  • being highly organized, proactive, self-reliant and able to react quickly to rapid changes,
  • problem solving and a can-do attitude with an ability to prioritise and switch between tasks,
  • familiarity with GDPR  and Organisational Safety and Health (OSHA/BHP) regulations

It would be even better if you are experienced in:

  • Cooperating remotely with coworkers distributed across multiple locations,
  • Organizing the end-to-end process of removals and opening of new offices,
  • Researching, preparing offer inquiries and negotiating with suppliers and service providers,
  • Introducing new insurance policies,
  • Improving the process of archiving documents,
  • Organising events and international business trips,
  • Inventory and stocktaking.
